Instructions for Purchasing UW-Madison Preferred Products from Dell, EIS, Staples, and the MDS Warehouse

Shop@UW features several "UW-Madison Preferred Products," including laptop and desktop computer bundles, toner, and common office supplies such as pens, writing pads, copy paper. These quality-tested products have been standardized to support the work of the Administrative Excellence initiative at UW-Madison. Ordering instructions for computer bundles from Dell, office supplies from Staples, and copy paper from Shop@UW core stock follow.

1. How to Log Into Shop@UW

Step 1:

From the Shop@UW homepage (bussvc.wisc.edu/shopuw/shopuw.html), select the Login to Shop@UW link from the top navigation menu.

Step 2:

Enter your MD number and password into the appropriate fields and press Enter.

  • **UW-System users without account numbers may log in via the Authhub. Click on the Guest Link Account link.

Step 3:

In the Shop@UW store lobby screen, selelct either option:

  • UW-Madison MDS Warehouse
  • Shop at External Suppliers

2. Ordering UW-Madison Preferred Products from Dell (Computer Bundles)

Step 1:

Click on the "Shop at External Suppliers" link from the Shop@UW Store Lobby.


Step 2:

From the Shop@UW supplier showcase screen, click on the Dell icon within the Shop at a Punch-out Supplier Site field to navigate to the Dell punch-out ordering web page.

Step 3:

Once at the Dell punch-out site, choose a laptop or desktop listed on the main page. The systems listed here are UW Preferred products.

Step 4:

Choose Customize and then Review Summary or, simply choose Add to Cart to purchase without any customization.

Step 5:

After reviewing the components, choose Add to Cart.

Once the item is in your cart, choose Create Order Requisition.

Step 7:

Choose the No Charge shipping option, check that you WILL NOT export the order, and click continue.

Click submit order requisition.

Step 9:

The item has been returned to your Shop@UW cart and can now be purchased.

3. Ordering UW-Madison Preferred Products from EIS Office Solutions (Remanufactured Ink and Toner)

Step 1:

Click on the "Shop at External Suppliers" link from the Shop@UW Store Lobby.


Step 2:

Click on the EIS Office Solutions icon within the Shop at a Punch-out Supplier Site showcase to navigate to the main EIS Ordering Page.

Step 3:

Once at the EIS site, use the search box at the top of the main page to find toner. Enter a printer model number or new cartridge item number and click Search.

Step 4:

The results of the search are displayed. Enter the desired quantity and click the Add to button to add the item(s) to the cart.

Step 5:

Click the My Cart icon in the upper right and then click View Cart to view the cart and checkout.

Step 6:

The order information appears near the bottom of the screen. Review the order and click Submit Cart to return the item(s) to the active cart in Shop@UW.

Step 7:

The item(s) have been returned to the active cart in Shop@UW and can now be purchased. Click the Begin Checkout Process button.

4. Ordering Preferred Products from the Staples Punch-out (Office Supplies)

Step 1:

Click on the "Shop at External Suppliers" link from the Shop@UW Store Lobby.


Step 2:

From the Shop at a Punch-out Site showcase, click on the Staples supplier sticker. The sticker contains a small icon in the upper-right corner—a small rectangle with an up arrow—indicating that the shopper will navigate to the punch-out. A punch-out website is a website specifically for and prepared by the supplier for Shop@UW.

How does the shopper know if they are on the Staples punch-out within Shop@UW? The punch-out website contains several clues that identifies the site as a punch-out. For example: 1) https://solutions.sciquest.com in the URL; 2) “Shop@UW Connection to Punch-out Supplier Web Site” in the top banner; 3) “Cancel Connection to Punch-out Supplier Web Site” button in the top banner; and 4) Shop@UW logo.

Step 3:

Click on the Your Lists dropdown in the punch-out. Find the Preferred List link and click on it to open; see Fig. 1. From here, update quantities as needed and then add items to the shopping cart using the Add to Cart button; see Fig. 2.

Step 4:

Once all the desired products are added to the punch-out cart, proceed through the functions on the punch-out to send the cart back to Shop@UW. In Fig. 1, the image shows how to click on the punch-out cart icon to review and proceed to the checkout. The punch-out Submit Order button, which returns the shopper to Shop@UW, is shown in Fig. 2.

Step 5:

Complete the cart checkout process by clicking on the Begin Checkout Process button (Fig. 1) and proceed through the following screen and click on the Continue Checkout Process button (Fig. 2).

5. Ordering MDS Warehouse - Locally-Stocked Products (Copy Paper)

Step 1:

Users with a MD account number and order supplies from MDS may click on the "Shop at External Suppliers & UW-Madison MDS Warehouse" link from the Shop@UW Store Lobby.

Step 2:

Use the "View Favorites" link to quickly find the MDS Warehouse - Locally Stocked Products Shared Favorites folders.

Step 3:

Choose the folder from the list. This example outlines how to select Copy Paper and add the item to the cart.


  A.  Select the Paper Products subfolder under MDS Warehouse – Locally Stocked Products.

  B.  Select the White Paper subfolder.

  C.  Select the Copy Paper subfolder.

  D.  Find an item in the search results window and enter the amount to order.

  E.  Click on the “Add to Cart” button.
